Message from the Board of Directors of Mes Amis

Welcome to Mes Amis Preschool Cooperative!

Please read this handbook thoroughly. It details the policies and procedures of Mes Amis. As a parent of a child in Mes Amis it is your responsibility to understand the information in this handbook. We hope that this handbook is useful to you, and we ask that you keep it for future reference. It is difficult to anticipate all the possible situations that may occur during the course of a school year, therefore, we suggest you contact a board member should you have any questions or concerns that this handbook does not address. 

Operating Guidelines
Mes Amis is a co-operative that is run by an elected group of parents. Parents are elected by other members of the co-op to be on the Board of Directors. The Board of Directors oversees the general operation of the preschool, including the management of the co-op, staff, and finances. Positions on the board include (but are not limited to): President, Vice-President, Secretary, Treasurer, Registrar, and two Members at Large. Each position is elected for a one year term.

  • The Board of Directors generally meets once a month. These meetings are open to members.
  • The Board of Directors operates according to the Co-operatives Act. A copy of the Act can be found at:

  • The Act requires that the preschool carry sufficient liability insurance.
  • The lead teacher and instructional assistants are hired as employees of Mes Amis Preschool Cooperative.

Communication

Email

Mes Amis uses email as a primary mode of communication. Parents are asked to provide their email address when registering, and this email address will be added to both the school’s general distribution list as well as class distribution lists.  Both the teaching staff and the Board will send messages throughout the year regarding school cancellations, reminders of special events, notices, etc.

Our Mes Amis Teachers post pictures almost every day via the Seesaw app, individual portfolios are created for each student and class. Access is limited to parents for the individual student. This is a wonderful addition to our program; giving parents a glimpse into their child's day at Mes Amis. If you have questions about this, please email us. 


School Calendar

Mes Amis classes generally:

  • Begin after the second weekend in September (the week after "regular school" begins), and
  • End the last Friday in June.
  • School Holidays will coincide with St. Pius X school holidays and will include Christmas break, February break and other holiday days.
  • Mes Amis will have school on St. Pius X teacher professional development days (TPD days).
  • A comprehensive school-year calendar is available that details the entire school year.

Class Options

Sparrows (2 days per week

  • Tuesday & Thursday mornings (9:00 am - 11:30 am) and afternoons (12:30 pm – 3:00 pm)
  • 3 to 5 year olds - children must be at least 3 by December 31, 2017.
  • Classes are limited to 14 students, providing low student to Teacher ratio

Owls (3 days per week)

  • Monday, Wednesday, and Friday mornings (9:00 am – 11:30 am) and afternoons (12:30 pm – 3:00 pm)
  • 3 to 5 year olds - children must be at least 3 by December 31, 2017.
  • Classes are limited to 14 students, providing low student to Teacher ratio

Class Times

  • Morning, from: 9:00 am to 11:30 am.

Children may be dropped off at the classroom between 9:00 am and 9:15 am. Children should be picked up at the south door classroom promptly at 11:30 am.

  • Afternoon, from: 12:30 pm to 3:00 pm.

Children may be dropped off at the classroom between 12:30 pm and 12:45 pm. Children should be picked up at the classroom promptly at 3:00 pm.


Program Registration & Fees

Program Fees

The Mes Amis fees for the 2017-2018 year are as follows, you will receive a tax receipt for your fees:

  • $5 Cooperative Membership Fee (lifetime family fee)
  • $40 Registration Fee (non-refundable)
  • $40 Material Fee per semester
  • $125 Monthly Fee for 2 days a week students
  • $165 Monthly Fee for 3 days a week students

Fees for 2 day a week session (Sparrows):

Monthly Payments by cheque made payable to "Mes Amis Preschool", the following are required for your child attending the Tuesday / Thursday AM or PM class:

  1.  $85.00 – Registration ($40 non-refundable), Materials ($40 per semester), Co-op fee ($5 one-time fee)
  2.  $250.00 - Deposit for September and June dated July 1, 2017
  3.  $125.00 - Post-dated October 1, 2017
  4.  $125.00 - Post-dated November 1, 2017
  5.  $125.00 - Post-dated December 1, 2017
  6.  $165.00 - Post-dated January 1, 2018 (includes $40 Materials fee)
  7.  $125.00 - Post-dated February 1, 2018

Per Semester payment by Cheque or E-Transfer, the following are required for your child attending 2 days a week:

One payment due at registration that includes:

  1.  $85.00 – Registration ($40 non-refundable), Materials ($40 per semester), Co-op fee ($5 one-time fee)
  2.  $625.00 (Monthly fees for September, October, November, December 2017 as well as last month payment for June 2018)
  3.  Total: $710.00

One payment due December 2017 that includes:

  1.  $665 - (Monthly fees for January, February, March, April and May 2017.  Also includes $40 Materials fee)

Single Lump Sum Payment by Cheque or E-Transfer, the following is required for your child attending 2 days a week:

One payment due at registration that includes:

  1.  $125.00 – Registration ($40 non-refundable), Materials ($40 per semester), Co-op fee ($5 one-time fee)
  2.  $1250.00 (Monthly fees for September, October, November, December 2016, January, February, March, April, May, June 2017)
  3.  Total: $1375.00

Fees for 3 day a week session (Owls):

Monthly Payments by cheque made payable to "Mes Amis Preschool", the following are required for your child attending the Monday / Wednesday / Friday AM or PM class:

  1.  $85.00 – Registration ($40 non-refundable), Materials ($40 per semester), Co-op fee ($5 one-time fee)
  2.  $330.00 - Deposit for September and June dated July 1, 2017
  3.  $165.00 - Post-dated October 1, 2017
  4.  $165.00 - Post-dated November 1, 2017

  6.  $205.00 - Post-dated January 1, 2018 (includes $40 Materials fee)

  2.  $825.00 (Monthly fees for September, October, November, December 2017 as well as last month payment for June 2018)
  3.  Total Due: $910.00

One payment due December 2017 that includes:

1.    $865.00 - (Monthly fees for January, February, March, April and May 2017.  Also includes $40 Materials fee)

Single Lump Sum Payment by Cheque or E-Transfer, the following are required for your child attending the 3 days a week class:

One payment due at registration that includes:

  1.  $125.00 – Registration ($40 non-refundable), Materials ($40 per semester), Co-op fee ($5 one-time fee)
  2.  $1650.00 (Monthly fees for September, October, November, December 2017, January, February, March, April, May, June 2018)
  3.  Total: $1775.00

Program Registration 

To register and reserve your child’s spot at Mes Amis, the Registrar must receive your completed registration form and payment. 

All fees are monthly, and we regret that no refund can be provided if a child is absent due to illness, vacation, or any other reason.
School fees are not the responsibility of the teacher, and any concerns regarding the payment of fees should be addressed directly to the Treasurer.

There will be a $30 charge levied on all NSF cheques.

Children may enroll in the school at any time, if space is available. A waiting list will be made when necessary, and parents will be contacted immediately if a space becomes available. 

Existing co-op members will receive priority registration. This priority registration period will begin January 17, 2017 at 9:00 am. General registration will open January 24, 2017 at 9:00 am.

All registration is on a first come first serve basis.

The Board reserves the right to refuse registration to an applicant or to withdraw a student from the preschool.
The Board reserves the right to cancel a class time due to lack of registrations.


Withdrawal Policy


Should you decide to withdraw your child, you are required to provide one month’s written notice to the registrar. You will forfeit registration, material and coop fees as well as one month’s fees. If you do not provide one month’s written notice, you will be charged a penalty of an additional month’s fees (a total of two months fees plus registration, material and coop fees).


Parent Participation

Classroom Helper

It is strongly encouraged that parents participate in their child's time at Mes Amis. Throughout the year we will be asking for parent helpers for specific events and field trips. 

Special Talents

Any parent with special talents is encouraged to share them with the preschool. Please coordinate this with the teacher or a board member.


Expectations of all Parents 

Mes Amis Preschool is a co-op and all parents are expected to contribute to the operation of the school for the benefit of our children.

We recognize this may be difficult for parents who work full time, so it is important for all parents to read the following guidelines to acquaint themselves with the preschool obligations. We also welcome help from aunts, uncles, grandparents or babysitters. The volunteer coordinator will provide volunteer information (schedules, etc.) to parents through email.

General Meeting

You are asked to attend the Annual General Meeting. Your input and support are greatly appreciated.

The AGM is generally held in late August, and an email with details about the meeting will be provided.

Board members are elected at the general meeting.

Classroom Cleaning

Once during the school year, you must assist with one of the monthly cleanings of the classroom. The clean-up includes washing and disinfecting all items in the classroom such as toys, shelves, floors, tables and chairs. Parents may switch with other parents.
Anyone who does not fulfill their scheduled cleaning time (and has not arranged a substitute) will be charged a penalty of $30.00 and will be required to sign up for another cleaning time.

Classroom Requirements

Each day, you must provide a nutritious snack for your child. Children are not allowed to share snacks. Please take note that St. Pius is a “nut aware” school therefore snacks must not contain nuts of any kind.

All removable clothing such as boots, hats, etc. should be labelled with your child's name.
Children should wear comfortable clothes that you don't mind being soiled with paint, glue, etc, and which are easy to manage during washroom visits.

Running shoes or soft-soled shoes, labelled with your child’s name, are required in the classroom. We recommend you leave the shoes in the classroom for the duration of the school year.

Please send a water bottle for snack time with your child each school day (no juice boxes).

Please provide a change of clothes in a labelled plastic bag to be left in your child's backpack.

Snack List and Guidelines

St. Pius X is a Nut Aware school. We do have students registered with Mes Amis Preschool who suffer from nut allergies. If you are unsure that a product is nut free, please refrain from sending that item to school with your child. The Mes Amis classroom is also a fish free room, please do not send fish (i.e. tuna and crackers) to school with your child.

Snack time is limited so please send only a snack item and a water bottle.

To minimize the mess in the class, other items that are NOT allowed: yogurt tubes, pudding cups, fruit cups, yogurt containers, candy, and gum. Juice, milk, pop, kool-aid or other drinks will NOT be allowed in the classroom.

Extra precautions should be taken to ensure your children are kept safe. Foods such as grapes, tomatoes, carrots, and apples should be CUT into small pieces. If they are sent whole, they will be sent home with your child.

Safe Snack Examples: Peeled orange, cut up apple, banana, cut up strawberries, crackers and cheese, cheese stick, nut free granola bar, fruit snacks, fruit bar, nut free cookie, cucumber slices, pepper slices, mini muffin, or banana bread slice.

School Supply List

Please bring the following items with you on the first day of preschool:

  • 2 boxes of Tissue
  • 2 packages of Wet Wipes
  • 1 pair of Indoor Shoes (clean, non-marking shoes that your child can get on by themselves. To be left in the classroom)
  • 1 zip lock bag containing a full set of extra clothing in case of accidents (to be kept in your child’s backpack)
  • 1 lunch kit / snack container to be sent to each class
  • 1 water bottle (that can be operated by your child!)
  • 1 backpack that is large enough to carry their snacks, water, extra clothing, as well as crafts, scholastic orders, etc. that will be sent home via backpacks on a regular basis!

Dropping Off Children

Parents and children should enter the school through the main entrance on Garnet Street. Please have your child bring a medium-sized bag or backpack to school each day to transport their completed crafts, work, snack, water bottle, etc. Parents and children are to remove their boots or dirty shoes at the outside school door. The boots are to be carried to the designated boot tray outside the classroom. Please be as quiet as possible to minimize disruption to other classes.

Picking Up Children

Children shall be picked up at the classroom. The teacher will prepare the children to leave and have them ready at 11:30am and 3:00pm. 
Late Pick Up: If your child has not been picked up by 11:45 am or 3:15 pm, you will be required to pay an additional charge of $15.00 to the preschool. If a child is consistently picked up late that child may be removed from the program.


Parent Helpers

  • We require a Parent Helper on specific/special and on field trips for all classes.
  • Your role as a Parent Helper in the classroom is very important. You help to ensure the classroom is a safe, inviting environment.It is also an opportunity for you to experience Mes Amis with your child and experience a “day in class”.
  • Please arrive a few minutes prior to the start of class. Children will require assistance putting on their indoor shoes and finding the coat and backpack hooks. As a parent helper, your job will be to encourage children to try this on their own first. You can talk them through how to solve their problem in different ways. A BIG part of the Mes Amis program is helping the children develop confidence in trying new or difficult tasks.
  • Bathroom trips during the class will be handled by the Instructional Assistant but there may be some requirement for the parent helper to take an additional child to the Instructional Assistant if already at the washroom.
  • During craft or work time, the parent helper will be asked to assist in handing out materials. Children may require extra help with tasks, please encourage them to try on their own to complete the task. Children feel a great sense of accomplishment and pride when they are able to complete a task with little or no hands on help.When craft time is complete, the parent helper will be asked to clean up and wash the tables. You will also be asked to sweep up any materials which may have fallen on the floor.
  • Snack time will occur around the table and children are asked to remain seated until they have finished their snack, you will be asked once again to clean the tables and sweep the floor.
  • Your role as a Parent Helper on a field trip is to assist in providing supervision. Given the children are in a new and different environment, we want to ensure they are not wandering off. On some of our field trips we do complete crafts; we would look for you to assist in handing out materials and cleaning up. Each field trip will have different requirements, please ask the Teacher if you are unsure of what your role will be on the field trip.
  • At NO time will a parent helper be asked to discipline a child. If you encounter inappropriate behaviour PLEASE inform the Teacher immediately. She will deal with the situation in the appropriate manner.

Criminal Record Check

All classroom and field trip volunteers are required to have a criminal record check (CRC). This can be done at no cost at the Regina Police Station. Take along 2 pieces of identification when you apply for your CRC. The criminal record check is valid for two years. Completed criminal record checks should be given to the teacher or registrar. If you intend to volunteer, we strongly encourage you to provide Mes Amis with your CRC at your earliest convenience.


Fundraising

In order to help supplement the costs associated with the preschool and continually update the learning environment, there will be 2 fundraisers each year. Cooperative members are required to either participate in the fundraisers or pay an `in lieu of fundraising" fee of $80 to the preschool.

Donations

If you can help donate any bulk supplies or help us obtain any articles at wholesale prices, please notify the teacher or a member of the Board. Mes Amis Preschool is also a registered charity and can offer charitable donation receipts on donations over $20. 

Teachers may request items be donated throughout the school year if possible (such as flour, cream of tartar, toilet paper rolls etc).


Excursions

You will be asked to volunteer your time to assist with supervising the children on excursions. Generally two or three volunteers will be required per trip.

  • Excursions will be cancelled if there are not enough volunteers.
  • Parents are responsible for arranging transportation for their child to and from the excursion.
  • Generally students meet at the location of the excursion and do not attend the school on the day of the excursion.
  • Children shall wear Mes Amis t-shirts on all excursions. T-shirts are provided by the school and should be returned to the school at the end of the school year.

Intervention Procedures

It is our goal to ensure that all children are actively engaged in the learning process at Mes Amis. We understand that some students may require a little extra support. If there are concerns about a child's progress, the teacher will first discuss the concerns with the family. If improvements are not evident, the concerns will be discussed with a board member and a problem-solving meeting will be scheduled. Parent involvement in the classroom may be required. A child's ability to attend Mes Amis will be a board decision with teacher and parent input.


Teacher Absence

If the teacher is unable to be at school, the board will make an effort to have a substitute attend. If this is not possible, class will be cancelled and parents notified as quickly as possible (via email).


Harassment Policy

The Board does not tolerate bullying or harassment and encourages all employees, parents, volunteers, or other adults to advise the Board if they believe they have witnessed harassment or are being harassed. Harassment can include any inappropriate conduct, action, comment or communication that is generally deemed offensive, threatening or causes humiliation or intimidation. Any actions deemed, by the Board as harassment can result in immediate action such as asking a child to leave Mes Amis preschool, to ask that an adult not within the school or other actions as necessary.
